How InSideOut Turned Every Job Into Documented Proof

InSideOut Cleaning

Three Businesses. One Small Team. Very Little Room for Error.

Jeffery Hart built InSideOut Cleaning around a simple standard: show up on time, work around the client, and leave the space ready for business. Over time, that standard turned into three different service lines.

There was recurring commercial janitorial work running on fixed routes. Apartment turnovers for property managers that had to be completed within a 24-48 hour window. And cleanouts following evictions and construction.

Three types of work. Three different operational rhythms. But only one team to run them.

InSideOut had 14 active commercial accounts, turned over around eight residential units every month, and operated with a small crew, with Jeffery still working jobs most weeks.

The Work Was Getting Done. The Problem Was Proving It.

The issue wasn’t that InSideOut wasn’t cleaning properly. It was that when someone said a job hadn’t been done, Jeffery often had no evidence to prove otherwise.

A property manager might call about a bathroom in Unit 4B. A landlord might text about debris supposedly left behind after a move-out. The crew knew what it had done.

But photos were sitting on personal phones. Paper checklists didn’t always make it back to the office. Sign-offs might exist as a text message, a verbal confirmation, or not at all. So Jeffery could be right and still lose the argument.

And in property management, losing that argument can mean more than a difficult conversation.

It can mean losing the account behind it.

When a property manager tells you a unit wasn’t cleaned and all you have is your crew’s word, you lose the argument even when you’re right. Then you lose the portfolio.

One Dispute Could Cost More Than the Work Itself

The complaints weren’t constant. They didn’t have to be. InSideOut was dealing with roughly two to three complaints a month, and around one in three ended in a discount or a re-clean, even when the work had been completed properly.

A single re-clean on a turnover could consume 4-6 unpaid hours. For a small crew, that’s most of a working day that had already been paid for once. Then there was the time Jeffery spent answering questions from property managers.

Status calls and texts were taking 4-5 hours every week, often arriving while he was in the middle of a job himself. And turnovers had their own pressure. One or two of the eight monthly turnovers were running past the 24-48 hour window. For this kind of work, the window isn’t just a scheduling target.

The window is the product. There was also a cash-flow problem hiding underneath it all. Jobs could be completed in two days but still take an average of 25 days to get paid. InSideOut didn’t need more software for the sake of having software.

It needed a way to make completed work undeniable.

Losing an Account Changed What Jeffery Was Looking For

The search for a solution started after InSideOut lost a property management account over a disputed unit that the crew had actually cleaned.

Jeffery wasn’t looking for an all-in-one platform with hundreds of features. He wanted one specific thing… A signed report at closeout.

The problem was that much of the software he looked at was built for teams four or five times the size of InSideOut, and the cost reflected that. Then he found Upvoit.

Every Type of Cleaning Now Has Its Own Workflow

The important part wasn’t simply putting InSideOut onto a software platform. The business had three different service lines, so one generic checklist wasn’t going to work.

Upvoit lets each one run its own workflow. Apartment turnovers have their own checklist. Cleanouts for evictions and post-construction have another. Recurring commercial janitorial work has its own process.

The crew works through the relevant checklist as the job progresses and uploads the required photos along the way. That means the documentation is created while the work is happening, rather than becoming something Jeffery has to chase afterward.

Then comes the moment that changed the conversation with clients. At closeout, the client or site contact signs the checklist directly on the crew’s phone. As soon as it’s signed, a PDF report is generated and sent to both Jeffery and the property manager.

The proof doesn’t wait for Jeffery to get back to the office. It arrives while the job is still fresh.

The Complaint Now Has to Compete With the Evidence

That changed the dynamic completely. Most complaints don’t get made anymore because the property manager already has the report in their inbox before they think to call.

Property managers also get their own portal.

Instead of texting Jeffery for a status update, they can log in, see the units in their portfolio, submit requests, and pull reports themselves.

For move-outs, evictions, and post-construction jobs, mandatory photo logs are tied directly to the job record. So when a landlord needs proof of a property’s condition before it goes back on the market, the evidence is already there.

The same platform also handles the work behind the scenes. Field hours flow directly into payroll, and invoices are issued when a job closes. What used to depend on texts, paper, personal phones, and Jeffery remembering what happened on a job now has a place to live.

2 to 3 a month

Customer complaints each month, with one in three leading to discounts or re-cleans despite properly completed work.

4 to 6 unpaid hrs

A single re-clean on a turnover can cost nearly one working day for a three-person crew.

1 to 2 a month

Turnovers running past their window, out of eight jobs, when the window represents the entire product.

25 days

Average payment cycle for completed jobs, leaving businesses waiting weeks before the money reaches their accounts.

The Numbers Changed. But the Bigger Win Was Trust.

InSideOut now closes all three service lines with a signed checklist and an automatically delivered PDF report. Complaints have dropped to one a month or fewer, and the complaints that do come in rarely end with a discount because the documentation arrives before the argument does.

Payment time dropped from 25 days to 12 days on quick-turn work. Communication with property managers fell from 4–5 hours a week to under an hour, because they can now check their own portfolios instead of calling Jeffery.

And turnovers missing their deadline dropped from one or two a month to under one per quarter.

Even payroll became less of a Sunday-night task. What had taken around an hour and a half now takes roughly 15 minutes. But Jeffery remembers the moment that mattered most. A property manager called about Unit 12.

Instead of trying to remember what happened, calling the crew, or searching through messages, Jeffery pulled up the signed checklist and photos while she was still on the phone.

Four minutes later, the conversation was over. And the portfolio stayed with InSideOut.

A property manager called about Unit 12 last month. I pulled the signed checklist and the photos while she was still on the phone. Four-minute call, and we kept the portfolio.

Proof Isn’t Administration. It’s Protection.

There’s a common assumption that software becomes necessary only when a cleaning company gets big. Jeffery sees it differently. When you have a small crew, you don’t have much room to absorb mistakes.

One disputed job can mean a re-clean. One re-clean can take most of a working day. One unhappy property manager can mean losing an entire portfolio.

So the value of having a documented, repeatable workflow isn’t just saving administrative time. It’s protecting the work you’ve already done.

Jeffery puts it even more simply:
“Everyone tells you to get software when you’re bigger. I’d say the opposite. At three people you have no bench, so one dispute costs you a week.”

That’s what changed for InSideOut. It didn’t suddenly become a bigger cleaning company. It became a cleaning company with proof behind every job.

Your Clients Shouldn’t Have to Take Your Word for It

The best cleaning work is usually invisible. When everything goes right, the client walks into a clean space and moves on with their day.

But the moment someone asks, “Was this actually done?”, invisible work needs visible proof.

InSideOut now has that proof built into the workflow.

The checklist gets completed. Photos stay with the job. The client signs off. The report is delivered. And Jeffery doesn’t have to stop what he’s doing to prove something his crew already did.

If your team is still relying on texts, paper checklists, personal phones, or someone’s memory to prove a job was completed, it may be time to see what that workflow looks like in one place.
